What is a client portal?

Short answer

A client portal is a secure, password-protected website where clients upload documents, download returns, sign forms and message the firm instead of using email.

What it is

A portal gives each client a login, encrypts files in transit and at rest, logs who opened what, and keeps documents out of inboxes. Most practice management suites include one; standalone portals exist too.

The weakness is adoption. Many clients never set a password, forget it each year, or photograph their documents and text them anyway. The portal is only secure for the documents that actually go through it.

Why it matters for a tax firm

A portal answers the FTC Safeguards Rule's encryption and access-logging requirements for documents, and it is far safer than email. The practical question is how to get clients, especially less technical ones, to use it.

How XyloDocs handles it

XyloDocs includes a client portal and also accepts documents over WhatsApp, text and email so clients who will never log in are still covered, with the same storage and access log behind every channel.

Questions about Client portal

Is a client portal required?

No law names a portal. The Safeguards Rule requires encryption and access controls for client information, and a portal is a common way to meet them for file exchange.

Why do clients avoid the portal?

Another password, once a year, on a desktop site. Clients default to the channel they already use daily, which is why firms add text and WhatsApp intake alongside the portal.
