For Denver metro CPA and EA practices

The tax document platform built in Denver, for Denver practices.

We're down the road, not in a support queue. Come see it, or we'll come to you.

XyloDocs is document intake and client communication software for tax practices, built and supported in Denver. We set it up in your office, you get a real phone number for a real person, and support runs on Mountain Time through tax season. It is running today in a Denver-area practice with more than a thousand clients.

In person, anywhere in the Denver metro. Or a call if you would rather.

What we hear from practices around here

  • Support that is three time zones away

You file a ticket at 4pm during crunch week and hear back tomorrow morning, from someone reading a script who has never prepared a return.

  • Software designed for firms ten times your size

Enterprise practice management assumes a full-time admin to run it. You are the admin, the preparer, and the person answering the phone.

  • Documents scattered across email, text, and a shoebox

Every year you rebuild the same client folder from four places, and every year something arrives late because nobody was tracking what was missing.

  • The same phone call, forty times a week

Clients call to ask where their return stands. It is a fair question and it takes ten minutes each time, right when you have the least of it.

  • Onboarding you are expected to do yourself

You buy the software, get a login and a link to a help center, and the migration becomes a project you never had time for.

  • Implementation fees that cost more than the software

Five figures to get started is normal in this category. For a practice your size that math never works.

What being local actually gets you

  • We set it up in your office, in person

Anywhere in the Denver metro, roughly a fifty-mile radius. We sit down with you and your staff, load your client list, and do not leave until it works the way your practice works.

  • You get the founder's cell number

Not a ticket portal. Not a chatbot. If something breaks in March you text the person who can fix it, and he answers.

  • Mountain Time support through tax season

Support hours that match the hours you actually work, from people in your time zone. When your day starts, ours already has.

  • We know how Colorado works

Colorado Department of Revenue timing, state deadlines, and the questions Front Range clients actually ask. You will not spend a call explaining your state to us.

  • A local reference you can call

A practice near you is running XyloDocs in production right now. Ask us and we will connect you so you can hear it from a peer instead of a salesperson.

  • Live before tax season

We scope the work against your season, not a generic onboarding template. The goal is simple: running and steady before the filing rush starts.

What we can actually point to

We are early and we would rather tell you exactly what is true than pad this page. Here is the whole of it.

  • A Denver-area practice, in production

More than a thousand clients running through XyloDocs today — document intake, client messaging, and status updates. Not a pilot.

    Our production customer, Denver metro

  • An IRS Certifying Acceptance Agent built this with us

Our co-founder, Sergio Ponce Veliz, is an IRS Certifying Acceptance Agent and founder of Alianza Tax. The workflows come from his own practice. Our founder is a software engineer, not a tax professional — the tax judgment comes from the practice side of the table.

  • Your data stays yours

Encryption in transit and at rest, access controls, and a full audit trail. You can export your documents at any time, in bulk, without asking us.

The things you are probably thinking

You are a small company. What happens if you disappear?

Fair question, and we would ask it too. Two things. Your documents are exportable in bulk whenever you want, so you are never locked in — if we vanished tomorrow you would still have everything, organized. And we are deliberately not chasing hypergrowth; we are building around a small number of practices we can actually serve well.

Why not just use one of the big platforms?

Sometimes you should. If you need full practice management — time, billing, workflow, staff assignments — a larger platform does more than we do. We do one part well: getting documents in from clients and keeping those clients informed. Plenty of practices run both.

I already run Drake. Does this replace it?

No. Your tax software stays exactly where it is. XyloDocs sits upstream of it — we collect and organize the source documents, then hand you a clean package to import. Same for Lacerte and ProConnect Tax.

I do not have time to learn new software.

That is why we come to you. The setup session is us doing the work in your office, not you following documentation at night. If it is not usable by the end of that session, we have not finished.

My clients are not technical. Will they actually use it?

They do not have to learn anything. Clients send documents the way they already send them — text message, WhatsApp, email, or a link they tap. There is no app for them to install and no password for them to forget.

Frequently asked questions

How far will you travel for in-person setup?

Roughly fifty miles from Denver, which covers Boulder, Fort Collins, Colorado Springs, and most of the Front Range. If you are farther out, ask — we will tell you honestly whether we can get there.

What does it cost?

It starts at $49 per month for the communication platform (with unlimited free client accounts), plus $9 per month per additional team seat and pay-as-you-go SMS, WhatsApp, AI calling, and e-signature usage from a prepaid balance. There is no implementation fee. Full pricing is on our pricing page.

How long does setup take?

We plan backward from your season so you are live before tax season. We will not quote you a fixed number of days without seeing your client list and current setup first, because that number would be made up.

How is client data protected?

Documents are encrypted in transit and at rest, access is controlled per staff member, and every action is logged in an audit trail. That supports the safeguards your practice is required to maintain under the FTC Safeguards Rule, though your written security plan remains your responsibility.

Can I get my documents back out?

Yes, in bulk, whenever you want, without contacting support. We think being easy to leave is the only honest way to ask a small practice to trust a small vendor.

Do you handle Spanish-speaking clients?

Yes. Client messaging, status updates, and phone calls can run in English or Spanish, and translation happens automatically in both directions.

Let's meet.

Tell us a little about your practice and we will find a time. Fifteen minutes, in your office or a coffee shop near you — whatever is easier. No slide deck.

We will not add you to a drip campaign.
